HOW TO APPLY

JOB DESCRIPTION
As Administrative Assistant to the JP 2048 Resident Project Team provide administrative assistance to the RPT onsite in the Ferrol premises of Navantia.
Duties to include managing correspondence, filing, maintaining and processing accounts and receipting invoices, processing claims and assisting RPT Staff and dependants in posting related administration.
DUTIES
1. Undertake office receptionist duties; liaise between RPT Staff and Spanish service providers.
2. Maintain RPT Correspondence and file management systems.
3. Maintain RPT records and accounts including receipting and recording invoices.
4. Assist RPT staff in processing miscellaneous administrative tasks including travel and accounts claims.
5. Process claims for allowances from RPT members and assist RPT Staff and their dependants with conditions of service claims
6. Liaise with Australian Embassy Staff in Madrid regarding service claims and allowances.
7. Provide support to RPT Staff and their dependants including undertaking administrative duties with respect to RPT Staff and dependants posting in and out of Spain.
8. Assist RPT members and their dependants with posting related issues and administration.
SELECTION CRITERIA
• High level oral and written communication skills in both English and Spanish.
• High levels of flexibility, adaptability and professional integrity. Willingness to accept flexible working conditions.
• Ability to undertake a wide range of administrative tasks, organise work and operate effectively with minimum supervision.
• Demonstrated ability to work effectively in an administrative role, managing correspondence, and filing, maintaining accounts and receipting invoices, assisting RPT staff and family in posting related administration.
• Computer skills, in particular experience with the Microsoft Office suite of tools
• Valid Spanish work permit. Driving license for at least two years and a clean driving record.
• Ability to obtain Security Clearance to work on site.
